AI receptionist for cleaning companies and maid services

The AI receptionist for cleaning businesses that quotes your price list and books the first clean

Andrei and Konnor at Optimal Automations build your AI receptionist and tune it through your first month. It answers when your team is mid-clean and can't take the call. It asks about bedrooms, bathrooms, pets and how often, says your price for that size and type of clean, and books the first visit on your Google Calendar before the caller hangs up. Yes, it's an AI, and it says so in its opening greeting.

Free, no card, about 5 minutes. You enter your contact details, then your prices and rules, and call your own AI receptionist from your browser. Andrei or Konnor may follow up.

What can an AI receptionist do for a cleaning business?

An AI receptionist for cleaning businesses is an AI voice assistant that picks up your business line, asks the caller about bedrooms, bathrooms, pets and how often, gives the price from the sheet you wrote and books the first clean on your calendar. It never promises a particular cleaner or an arrival minute.

  • The numbers it speaks come from your sheet: your price for that home size, the deep-clean add-on, your recurring discount and your pet fee. On arrival, your team confirms what the final price will be.
  • It won't call you bonded or insured unless you hand us the exact line to use.
  • Each call starts with a plain statement: you've reached an AI assistant, and the call is recorded.
  • It books into Google Calendar today. If you schedule in ZenMaid, Jobber, Housecall Pro or Launch27, you copy each job across.

The phone rings while you're in someone else's kitchen

A Marketdata report posted by ISSA in April 2026 cites the industry's main trade group, which estimates that about two-thirds of US maid-service companies gross under $300,000 a year (ISSA). Our guess, not a statistic: at that size the phone falls to whoever is holding the mop. No one has published a missed-call rate for house cleaning that we could verify, so we don't quote one.

What goes unanswered when you're mid-clean

  • The caller comparing prices. In Invoca's 2026 benchmark, a person picked up 52% of the calls home service businesses received, or 65% of calls longer than 15 seconds (Invoca). Its sample covers nine trades, such as HVAC, plumbing and pest control. House cleaning isn't one of them, so read it as a neighbor's number. Someone calling around can try the next company before your voicemail finishes.
  • The small-shop gap. ServiceTitan's June 2022 data, from 3,000-plus US and Canadian trade businesses that use ServiceTitan (plumbing, electrical, HVAC and the like, not cleaning), shows a gap by size. The smallest shops, under five technicians, booked 24% of inbound calls. The biggest, 25 or more, booked 59% (ServiceTitan). It doesn't test why.
  • The first call that becomes a standing client. A weekly or every-other-week client books a visit every week or two for as long as they stay. One answered call can be worth a year of visits, not one. We have no retention figures to share, because we found none we could verify.
  • The move-out with a date on it. A lease ends or a sale closes, and the clean has to happen before the keys change hands. That caller wants a yes and a day now. A move-out is also its own price on your sheet, so the call has to learn whether the home is occupied or empty.

Example call

A price shopper, a deep clean first, then every two weeks

This caller opens with a price question and says they're calling around. In this made-up call the AI finds out the kind of clean, says the first visit is full price, asks about pets, quotes from the sheet and books a start window. Asked about insurance, it has no wording from the owner, so it passes the question on instead of guessing.

Hear your cleaning receptionist

Made-up company, made-up caller. The free demo call has no live calendar and no texting; on your real line the AI checks your Google Calendar and asks about texts. When you build yours, it answers as your business, with your prices.

After a call like this, the owner sees it on an example house cleaning dashboard. Made-up business, made-up numbers, no sign-in.

The intake

What it asks a cleaning caller

It follows the order a good office manager would: what kind of clean, how big, how often, the home itself, then the price and the day. Each question comes alone, in plain words.

Kind of clean
Standard, deep, move-in or move-out, or recurring? On a move, it asks whether the home is occupied or empty.
Size
Bedrooms and bathrooms. Square footage only if the caller offers it. Your sheet prices by bedroom count, so bathrooms and square footage go on the ticket for your team.
How often
One time, weekly, every two weeks or monthly. It says the first visit is at the full price and your recurring discount starts after. It says "every two weeks," not "biweekly," which can also mean twice a week (Merriam-Webster).
Condition and pets
How long since the last professional clean, any heavy build-up, how many pets. Heavy build-up, a long gap, hoarding-level clutter, mold, bed bugs or biohazards: it takes details and gives no price.
Add-ons and price
Inside the oven, inside the fridge and anything else on your list, then your price for that size and type of clean. It also says the team confirms the price on arrival, and that the number isn't a binding quote unless you've said otherwise.
When
Two start windows inside your working days and hours, taken from the open times on your Google Calendar. It offers today only when you've allowed same-day cleans.
Where and how in
The address, then how your team gets in: someone home, a key, a code or a lockbox. Also parking and pets. It checks the address against your service area and never reads a code back out loud. A code a caller says stays in the recording and transcript, so give codes to your team directly.
Name and number
First name and a mobile number, repeated back to make sure they are right. Then it reads your cancellation rule.

Your rules

Your price list, your discounts, your cancellation rule

You keep your number and forward the calls you can't take. Every call is logged with its recording, so you can hear exactly what it said. We tune it through your first month. After that, send us a change and we make it.

  • Price list by size

Standard cleans by bedroom count, the deep-clean add-on, your move-in or move-out price and your minimum charge. Callers hear those numbers in your words. It never rounds, averages or guesses a size you didn't list.

  • Recurring discount, add-ons, pet fee

Weekly, every two weeks, monthly: whatever you charge. It says the first visit is at the full price and the discount starts after. It mentions only the add-ons and the pet fee on your list.

  • Looks first, work you don't do

You pick what is priced only after a look at the home, such as heavy build-up or post-construction cleans, and what you don't do, such as mold or exterior windows. It takes details on the first and says kindly it can't help with the second.

  • Days, hours, same-day

The days and hours your teams start and finish. You answer yes or no to same-day cleans. With no, the earliest it offers is the next working day.

  • Cancellations

Pick 24 hours' notice, 48 hours' notice or no fee. It reads your choice at the end of every booking and can repeat it when a client asks. It never makes up a late-fee amount.

  • When to get you, and your words

Complaints, re-clean requests, billing questions, commercial jobs or anyone who asks for the owner once: if you've turned transfers on, it puts the caller through to your cell during your business hours. If transfers are off, or it's after hours, the caller leaves a callback request. You can also type the insurance or bonding line you want said if asked, and a one-line difference, such as supplies included.

Where it stops

It books the clean. It doesn't promise the crew.

Letting an AI answer for you only works if it knows where to stop. Here is where this one stops.

Emergencies

  • Fire, smoke, sparks or a gas smell: the AI sets the booking aside and reads out the first message below.
  • A sounding carbon monoxide alarm: the second message.
  • Someone hurt, in danger or in a medical emergency: the third message, a single short line.
  • After any of the three, the call ends. No booking, no questions, and no other safety advice, whether about mold, pests, chemicals or anything else.

The three messages, word for word. Gas smell, smoke, sparks or fire: "That sounds unsafe. Please hang up and leave the house right now, without touching any light switches. Once you're outside and away from the building, call 911 and your gas company's emergency line. Stay safe." Carbon monoxide alarm: "Get everyone outside into fresh air right now and call 911 from outside. Don't try to find the source. Stay safe." Anyone hurt or in danger, or a medical emergency: "Please hang up and call 911 right now." For a gas smell, the leave-now steps track what Black Hills Energy tells its customers; the carbon monoxide message tracks Health Canada; and the 911 line agrees with 911.gov's advice to dial 911 immediately in an emergency. Before this goes live, run all three past your own lawyer or insurer.

Homes it won't price over the phone

  • Priced after a look. Heavy build-up or a long gap since the last clean, hoarding or heavy clutter, post-construction cleans and commercial jobs. These are the defaults, and you can change them. It takes details, gives no price and says the owner will follow up.
  • Not something you take. Biohazard or bodily-fluid cleanup, mold or water damage, bed bug or pest-infested homes, exterior windows and high areas. It says so kindly and, where it makes sense, points the caller to a specialist.

Several defaults match what cleaners typically skip, according to a Molly Maid executive quoted in Southern Living: areas that need more than a two-step stool, pest-infested homes until they are treated, and large amounts of mold.

What it never does

  • Quote beyond your sheet. No guessing a size you didn't list, no rounding, no averaging. For anything else, the owner confirms.
  • Promise a cleaner or an arrival minute. It books a start window and doesn't name who will clean.
  • Say you're bonded or insured, or give a license or policy detail, unless you give us the exact words to use.
  • Argue about a complaint or promise a re-clean. It takes the name, address, visit date and what was missed, and the owner calls back.
  • Take a card number or say a code aloud. A caller who starts reading out a card is stopped politely, since your team handles payment after the clean, and alarm or gate codes are never repeated.

Reminder texts

Reminders for clients who say yes to texts

  1. When the call ends: for clients who said yes to texts, a confirmation with the day, the start window and the address.
  2. The night before: a reminder from 4 p.m. The client can answer C to confirm the clean or R to move it.
  3. That morning: from 8 a.m., and only before the window starts, a heads-up that your cleaners start inside their window.
  4. No answer to the reminder? About two hours later you get one email, so you can check with the client yourself.
  5. A regular answers R: reminders for that clean pause, the client is told you'll text shortly to reschedule or cancel, and you get an email. You pick the new time.
  6. Booked late, or moved by you? A reminder is skipped when the clean was booked less than six hours before it was due. If you move a clean to a new slot on your calendar, the reminder texts shift to match, but the client is not notified, so tell them.
  7. Before any text can go out: the phone carriers must approve the texting number we register for your business, which usually takes one to four weeks after we file. Until then the AI keeps taking your calls and booking cleans, and you get each call summary by email.

How an AI answering service for cleaning companies compares

Voicemail is free and books nothing. A staffed answering service typically hands you a message to return. An AI receptionist app you configure yourself asks you to write the questions and load the prices. Ours is built around your price list and tuned by us through your first month.

Jobber's Receptionist add-on, available on select Jobber plans, costs $29 a month and covers 30 conversations; it is included on Jobber's Plus plan with unlimited usage (Jobber, read October 8, 2026). Pricing

What it costs, next to two regular clients

Starter is $497 a month and Pro is $797, after a one-time $997 setup. Housecall Pro's 2026 guide lists $130 to $200 for a standard clean of a three-bedroom home and says weekly and biweekly customers may get 10% to 15% off (Housecall Pro). At $130 less 10%, a client every other week pays $117 a visit, or $3,042 over 26 visits, so two of them are worth $507 a month. That is revenue, not profit, and only while they stay.

Starter

$497/ month

Up to 1,000 AI minutes, about 500 two-minute calls. Answering, booking, call summaries and, once your number is approved, reminder texts.

Pro

$797/ month

Up to 2,500 AI minutes and everything in Starter, plus a monthly call review with Andrei or Konnor.

One-time setup

$997

We build it from your own prices and rules, test it on a full call checklist and tune it during month one.

What you commit to: $1,494 to start on Starter ($997 setup plus the first month) or $1,794 on Pro. After that it is month-to-month: cancel before your next billing date and you owe nothing more, apart from $0.25 for each minute over your plan.

What we need from you: answers to a few questions about your fees, service area and schedule, access to your Google Calendar, call forwarding from the number you already use, and the business details the phone carriers ask for before texting starts. We build, test and tune it.

Extra minutes past your plan are $0.25 each. No per-call fees. The same done-for-you setup is built for AI receptionist for window cleaners, AI receptionist for handyman services and other home service trades. See the full list.

The 5-job guarantee

If your AI receptionist doesn't book at least 5 jobs in its first 30 days live, your second month is free. "Free" means we waive your plan fee for month 2. The $997 setup fee is not refunded.

  • What counts as a booked job: a real customer's booking, visit or estimate that the AI put on your calendar. Test calls don't count.
  • When the 30 days start: the day it starts answering your calls.
  • What we need from you: your calls forward to the AI for the full 30 days, at least whenever you can't answer and after hours. Your calendar has at least 10 open job windows a week.
  • Enough calls to judge it: at least 40 calls from potential customers reach the AI in those 30 days, as shown in the call log with recordings. If fewer come in, the guarantee doesn't apply. On the demo we look at your call volume and tell you if it is likely too low.
  • How to claim: after your first 30 days live, email hello@automateai.agency. We go through the call log with you, and if the conditions above were met and fewer than 5 jobs were booked, month 2's plan fee is waived.

Who you'll work with

Two founders. No call center.

We're Andrei and Konnor. We build every AI receptionist ourselves and test it before it takes a customer's call. We tune it through your first month; after that you send us a change and we make it, and Pro adds a monthly call review. You talk to one of us on the demo, and after launch you reach one of us directly, not a support queue.

We are new. There are no customer reviews or case studies to show yet, and we won't invent any. What we can show: you hear your own receptionist before you pay, every number on this page links to its source, and the guarantee puts our month-2 fee on the line.

Questions

House cleaning AI receptionist FAQ

Updated

Is an AI receptionist for cleaning businesses just an answering service with a new name?

No. A typical answering service takes a message, and the callback is still yours to make. An AI receptionist for cleaning businesses does the work during the call: it asks about bedrooms, bathrooms and pets, says the price from your sheet and books the first clean on your calendar before anyone hangs up.

What will it quote a caller for a house clean?

Only the prices on your sheet: standard cleans by bedroom count, the deep-clean add-on, move-in or move-out, your minimum, add-ons and the pet fee. The first visit is full price, and the recurring discount starts after. For a size or fee that isn't listed, it says the owner will confirm. Your team confirms the final price once they are in the home.

What does it do with an emergency, or a call about mold, bed bugs or hoarding?

Fire, smoke, a gas smell, a carbon monoxide alarm going off, or a medical emergency each bring a fixed safety message, and the call ends. Mold, bed bugs and biohazards are on the default list of work you don't take, so it declines kindly and takes details. Hoarding and heavy build-up get no price until your team has looked, and the owner follows up.

Source: Southern Living, via AOL

What happens when a regular client calls to skip or move a clean?

It takes the client's name, address and visit date, repeats your cancellation rule if asked, and sends you the details, by email until texting is approved, then by text. It never waives or adds a late fee on its own. A client who answers a reminder with R pauses that clean's reminders, and you get an email to pick a new time.

Will it tell callers we're bonded and insured?

Only in the words you give us. If you type the line you use on your website, it says exactly that when asked. If you leave it blank, it says the owner will confirm, so nothing unverified gets said. It never adds a license number or a policy detail by itself.

Can it schedule inside ZenMaid, Jobber, Housecall Pro or Launch27?

Not today. Bookings go on your Google Calendar, and each call is logged, with its recording, in a Google Sheet. Nothing is entered in ZenMaid, Jobber, Housecall Pro or Launch27, and there is no recurring billing or card on file, so you copy each job across yourself. On the demo, we can walk through what that looks like for your setup.

What does it cost next to a part-time receptionist?

Starter gives you 1,000 AI call minutes for $497 a month. Pro gives you 2,500 for $797, plus a monthly review of your calls with Andrei or Konnor. Setup is $997 once, and each extra minute is $0.25, with no long-term contract or per-call fee. For scale, a 20-hour-a-week receptionist at the BLS median wage costs about $1,583 a month in wages.

Will my clients know it's an AI?

Yes. Each call opens by saying it is an AI assistant and that the call is recorded. Some may hang up, and we have no hang-up data yet. A Gartner survey released in July 2024 found 64% of 5,728 customers would rather companies skip AI in customer service; the top concern was reaching a person. Asking for the owner gets a callback.

Source: Gartner, July 2024

Can it book a same-day or last-minute clean?

Only if you allow it. You set same-day to yes or no when you build it. With no, the AI says so and steers back to booking a regular slot. A caller who needs sooner, such as a move-out the next morning, can ask for the owner and is transferred in business hours, if you allow that, or gets a callback.
