AI receptionist and answering service for window cleaning businesses
The AI receptionist that quotes and books window cleaning jobs while you're on the ladder
Optimal Automations puts an AI receptionist for window cleaners on your business line, loaded with your own price sheet, then runs it and tunes it through your first month. It picks up while you're up a ladder or working a pole, quotes per window and books the clean on your calendar. Third stories, skylights, heavy hard-water stains and storefronts come to you with the details, not a guess. Yes, it's an AI, and it says so in its opening greeting.
Free, no card, about 5 minutes. You enter your contact details, then your prices and rules, and call your own AI receptionist from your browser. Andrei or Konnor may follow up.

What is an AI receptionist for window cleaners?
An AI receptionist for window cleaners is an AI voice assistant that answers your business line when you can't, asks how many windows and how many stories, quotes per window from your price sheet and books the clean on your calendar. It does not price third stories, skylights or storefronts.
- It quotes only what's on your price sheet, applies your minimum charge and tells the caller the total is an estimate until the crew confirms it on site.
- It never promises a stain will come out and never gives ladder or height advice.
- A caller hears, in its opening greeting, that it is an AI assistant and that the call is recorded.
- It books into Google Calendar today. If you run your day in Jobber, Housecall Pro or Workiz, you enter each job from the call summary.
The call comes in while you're on the ladder
Invoca's July 2026 benchmark says a person answers 52% of the calls a home service business gets, or 65% of calls longer than 15 seconds (Invoca). Its list of trades doesn't name window cleaning, and we found no published missed-call rate for window cleaners, so treat 52% as a cross-trade figure. Angi lists $221 as the average cost of a residential window cleaning visit (Angi), so a quote call that rings out can cost you a job of that size, and more if that customer would have joined your route.
The calls that ring out mid-job
- The spring and fall rush. Angi's cost guide gives spring and fall as peak seasons, when prices may rise with demand (Angi). In a full week you're on a ladder or a pole all day, and a new caller may get voicemail.
- The rain-day shuffle. A wet forecast, a gusty day or a hard freeze can move the whole week. Customers call to ask if you're still coming, and new callers still want a price. The AI says the weather rule you set and keeps quoting.
- The storefront manager. A shop or office that wants regular cleaning calls during business hours, when you're out on a house. The AI doesn't price it. It takes the details and books a walk-through, or leaves a callback for you.
- The customer already on your route. They call to move a visit, add the screens or ask about the skylight. They don't need a quote. They need the message to reach you with the address and the date attached.
Example call
It prices the windows and won't promise the stains
A made-up call to a made-up company: a two-story house, 24 windows and some hard-water spots. The AI quotes from the price sheet, calls it an estimate, won't promise the stains and answers the rain question in one line.
Hear your window cleaning receptionist
Made-up company, made-up caller. The free demo call has no live calendar and no texting; on your real line the AI checks your Google Calendar and asks about texts. When you build yours, it answers as your business, with your prices.
After a call like this, the owner sees it on an example window cleaning dashboard. Made-up business, made-up numbers, no sign-in.
- AIThanks for calling Sample Window Cleaning Co., this is Jess, an AI assistant. This call is recorded. How can I help you today?
- CallerHi, what do you charge to clean the windows on a house? Inside and out, with the screens.
- AIHappy to help. Roughly how many windows are there?
- CallerAbout 24, on two floors.
- AIInside and out is $10 a window and screens are $3 each, so with a screen on all 24 that comes to about $312. It's an estimate, not a binding quote, and the crew confirms the final price when they arrive.
- CallerFine. Some windows have white spots from the sprinklers. Will those come off?
- AIHard-water removal is from $20 a window, and I can't promise how much comes off. What's the address?
- Caller27 Juniper Lane, in Round Rock.
- AII have Friday between 9 and 11 in the morning, or Monday between 1 and 3 in the afternoon. Which works better?
- CallerFriday morning. What happens if it rains?
- AIIf it rains, we reschedule to the next dry day. Is there a gate or a dog the crew should know about?
- CallerA side gate and a friendly dog. I'll be home.
- AINoted for the crew. What's your first name?
- CallerRosa.
- AIThanks, Rosa. What's your mobile number?
- Caller512-555-0157.
- AIThat's five one two, five five five, zero one five seven. Is it OK if we text you reminders?
- CallerYes, that's fine.
- Booked: Fri 9-11am · 27 Juniper Ln · 24 windows, 2 stories, inside and out + screens · about $312 · hard-water spots flagged · side gate, dog · owner notified
- AIYou're all set, Rosa. The crew is booked for Friday between 9 and 11 at 27 Juniper Lane.
The intake
What it asks window cleaning callers
Angi's guide says window cleaning may be quoted per window, per pane or for the whole home (Angi). The price moves with the type of cleaning, the size and type of window, and access like extra stories. The AI asks for those, one question at a time, in plain words.
- Job
- A house, a storefront or something else? A house moves on to the quote questions. A storefront or any commercial building gets no phone price: it takes the details and books a walk-through, or leaves a callback for you.
- Scope
- Outside only, inside and out, or screens and tracks too? Each one is its own line on your price sheet.
- Count
- Roughly how many windows? If the caller doesn't know, it asks for the bedrooms or the size of the house. It gives your typical whole-house price only if you gave us one.
- Stories
- One story, two, or more? Third stories and higher, skylights and heavy hard-water stains are priced after a look, never by phone.
- Price
- Your per-window price, plus screens and tracks, with your minimum charge applied. It calls the total an estimate, confirmed by the crew on site, and says it isn't binding.
- When
- The address, then two open slots. It confirms the address is inside your service area, then offers two openings from your Google Calendar, on your working days and in your hours. Same day only if you allow it. The rain rule comes up only if the caller asks or mentions a forecast.
- Access
- A gate, a dog, someone home? The answer goes on the job so your crew isn't surprised.
- Contact
- The caller's first name and a mobile number. Then it reads the booking back, with the address, the day and the arrival time, so a wrong digit gets caught before a crew drives to the wrong house.
Your rules
Your price sheet, your minimum, your weather rule
Tell us your numbers and your rules, and we build the receptionist around them. Change a price? Send it to us and we update it. We tune it through your first month. The call log keeps a recording of every call.
Your price sheet
Price per window outside only and inside and out, screens, tracks and sills, hard-water stain removal and your minimum charge. It uses only the rates and minimum charge on your sheet. If you quote by the pane or flat per house, tell us and we build the sheet your way.
Whole-house price and regulars
A typical whole-house price, said to callers who don't know their window count. A recurring discount, said to callers who ask about regular visits. Angi's guide says recurring contracts often come with discounts of 10% to 20% (Angi). Yours is whatever you tell us.
Priced after a look
You pick what it never prices by phone: third stories and higher, heavy hard water, post-construction cleans, skylights, commercial buildings, anything you'd rather see first, like a first clean after years of build-up. It takes the details and flags the job for you.
Work you don't take
Roof or pitched-roof access, paint or sticker removal, window repair or replacement, and anything else you add to the list. Callers hear plainly that you don't do it.
Rain, wind and freezing days
You set the weather rule, such as 'we reschedule to the next dry day' or 'we still do the inside windows'. The AI says your rule when a customer asks or mentions a forecast. Your crew moves the day.
When it hands off to you
A complaint, a cracked pane or a scratch after a visit, commercial work, or any caller who asks once to talk to a person. Transfers are optional. Switched on, that caller is put through to your cell during business hours. After hours, or with transfers off, the AI logs a callback request for you.
Where it stops
It prices windows. It doesn't judge glass.
A receptionist earns your trust by what it won't say about your glass, your ladders or your prices. These limits are built in, and every call is in your log with the recording.
Fire, gas, carbon monoxide and injuries
- A smell of gas or rotten eggs, smoke, sparks or a fire: the AI drops the quote and reads out: "That sounds unsafe. Please hang up and leave the house right now, without touching any light switches. Once you're outside and away from the building, call 911 and your gas company's emergency line. Stay safe." Then the call ends.
- A carbon monoxide alarm that is sounding: the AI drops the quote and reads out: "Get everyone outside into fresh air right now and call 911 from outside. Don't try to find the source. Stay safe." Then the call ends.
- Someone injured or in danger, or a medical emergency, say a fall from a ladder: the AI reads out: "Please hang up and call 911 right now." Then the call ends.
After any of the three, there is no booking, no diagnosis, no fix and no other advice. The gas words follow Black Hills Energy: leave right away, touch no switches, then call 911 and the gas company from a safe distance. The carbon monoxide words follow Health Canada on what to do when an alarm sounds. The 911 line agrees with 911.gov's advice to dial 911 immediately in an emergency. Before you switch it on, get your own lawyer or insurer to read all three.
Priced after a look, not by phone
- Third stories and higher. Height changes the price and the access, so it takes the address and the details and leaves the number to you.
- Skylights, post-construction cleans and heavy hard water. Each one needs a look first.
- Storefronts and commercial buildings. It takes the business name, the address and what they want cleaned, then books a walk-through or leaves a callback for you.
- Anything not on your price sheet. Storm windows, sliders, French panes: if your sheet doesn't list it, it says the team confirms that.
What it never does
- Diagnose damage. A cracked pane, fogged glass or a scratch after a visit: it takes the details for you. It doesn't judge the cause or promise a fix.
- Promise a stain will come out. Hard water, paint, stickers or construction residue: no promises about the result. If you offer hard-water removal, it says your price and nothing more.
- Give safety, ladder or height advice. It says the crew confirms access on arrival.
- Quote beyond your price sheet. No ballpark for a job you haven't priced.
- Claim you're insured, licensed or bonded unless you give us the exact wording. Callers do ask. With your wording it says exactly that. Without it, it says the owner will confirm.
- Take a card number on the phone. Payment happens after the work, with your team.
Reminder texts
A reminder the evening before
- As the call wraps up: if the customer said yes to texts, a confirmation goes to them with the date, the arrival time and the street address. You get a summary of the call too, gate and dog notes included, by email until texting is approved and by text after.
- The evening before: a reminder from 4 p.m., like "Sample Window Cleaning Co.: Reminder - your window cleaning is tomorrow, Fri Oct 9, 9am-11am at 27 Juniper Ln. Reply C to confirm or R to reschedule. STOP to opt out." If the customer replies R or doesn't confirm, you get an email before your crew drives out.
- The morning of: from 8 a.m., and only before the window starts, a short text saying the crew is on today's schedule.
- No reply? About two hours after a reminder goes unanswered, you get an email, so you can call the customer before the crew heads out. A customer who texts R instead gets a short reply, and that job's reminders stop for now. You get an email as well, so you can set the new time.
- Booked late? A reminder is skipped when the job was booked less than six hours before it was due, because the customer has just heard from you.
- A rain day: you move the jobs on your calendar and tell the customers yourself. The reminders follow the new time, but the AI doesn't text the move, watch the forecast or send your day's list. It does say your rain rule to anyone who calls and asks.
- What waits on the carriers: every text. Your business texting number needs the phone carriers' approval first, usually one to four weeks after we file. Answering calls and booking jobs doesn't wait, and each call summary reaches you by email meanwhile.

Your options when the phone rings and you're up a ladder
Voicemail costs nothing, but some callers hang up and try the next window cleaner. A live answering service takes a message you return later, while an AI receptionist app can quote and book jobs, but only after you load your prices and tune it yourself. Ours is built on your price sheet plus your rules, and we tune it through your first month.

That is revenue, not profit, and it leaves out the $997 setup. For scale, Starter is $497 a month.
If only half of those callers would have booked, that's about 1 job and $290 a month.
Or book a demo and we'll run this with your real call numbers.
How it's figured: calls per week × 4.33 weeks × share not answered × share that are leads × booking rate × average job. Starting rates from the Invoca 2026 home services report: 65% of calls longer than 15 seconds to home service businesses are answered by a person (52% of all calls), 38% of answered calls are leads, and 45% of those leads convert on the call. Angi lists $221 as the average cost of a residential window cleaning visit, range $150 to $302, updated March 2026 (Angi), and one visit leaves out repeat visits from route customers. Invoca's list of trades does not include window cleaning, so type your own numbers. It assumes missed callers are just as likely to be leads, and to book, as callers who get through, so treat it as an illustration, not a forecast.
Pricing
What it costs: three average visits cover a month of Starter
Starter is $497 a month and Pro is $797, after a one-time $997 setup. At Angi's $221 average visit, three visits bring in more than a month of Starter, before your own costs (Angi). It's month-to-month.
Starter
$497/ month
Up to 1,000 AI minutes, about 500 two-minute calls. Answering, booking, call summaries and, once your number is approved, reminder texts.
Pro
$797/ month
Up to 2,500 AI minutes and everything in Starter, plus a monthly call review with Andrei or Konnor.
One-time setup
$997
We build it from your own prices and rules, test it on a full call checklist and tune it during month one.
What you commit to: $1,494 to start on Starter ($997 setup plus the first month) or $1,794 on Pro. After that it is month-to-month: cancel before your next billing date and you owe nothing more, apart from $0.25 for each minute over your plan.
What we need from you: answers to a few questions about your fees, service area and schedule, access to your Google Calendar, call forwarding from the number you already use, and the business details the phone carriers ask for before texting starts. We build, test and tune it.
Extra minutes past your plan are $0.25 each. No per-call fees. The same done-for-you setup is built for AI receptionist for cleaning businesses, AI receptionist for handyman services and other home service trades. See the full list.
The 5-job guarantee
If your AI receptionist doesn't book at least 5 jobs in its first 30 days live, your second month is free. "Free" means we waive your plan fee for month 2. The $997 setup fee is not refunded.
- What counts as a booked job: a real customer's booking, visit or estimate that the AI put on your calendar. Test calls don't count.
- When the 30 days start: the day it starts answering your calls.
- What we need from you: your calls forward to the AI for the full 30 days, at least whenever you can't answer and after hours. Your calendar has at least 10 open job windows a week.
- Enough calls to judge it: at least 40 calls from potential customers reach the AI in those 30 days, as shown in the call log with recordings. If fewer come in, the guarantee doesn't apply. On the demo we look at your call volume and tell you if it is likely too low.
- How to claim: after your first 30 days live, email hello@automateai.agency. We go through the call log with you, and if the conditions above were met and fewer than 5 jobs were booked, month 2's plan fee is waived.
Who you'll work with
Two founders. No call center.
We're Andrei and Konnor. We build every AI receptionist ourselves and test it before it takes a customer's call. We tune it through your first month; after that you send us a change and we make it, and Pro adds a monthly call review. You talk to one of us on the demo, and after launch you reach one of us directly, not a support queue.
We are new. There are no customer reviews or case studies to show yet, and we won't invent any. What we can show: you hear your own receptionist before you pay, every number on this page links to its source, and the guarantee puts our month-2 fee on the line.

Questions
Window cleaning AI receptionist FAQ
Updated
Is an AI receptionist for window cleaners just a fancier answering service?
No. With a live answering service, an operator logs the caller's message and you still return the call. Optimal Automations' AI answering service for window cleaning businesses answers the call itself, asks how many windows and how many stories, quotes from your price sheet and books the clean on your calendar before the call ends.
What prices will it quote, and does it apply my minimum charge?
Optimal Automations' AI quotes a window cleaning job only from the prices you give it: price per window outside only and inside and out, screens, tracks and sills, hard-water stain removal and your minimum charge. It calls the total an estimate and says the crew confirms the price on site. For anything else, it says the team confirms that.
Can it quote windows it can't see?
Optimal Automations' AI quotes the window count, not the glass. It works from the number of windows, stories and screens, and estimates from your price sheet without photos or map views. Third stories, skylights and heavy stains are flagged for a look. If a customer texts back a photo or a question, they get one automatic reply and you get an email.
How does it handle storefronts, regulars and one-off houses?
Optimal Automations' AI gives a one-off house a per-window estimate and a booking. A regular who moves a visit or adds screens leaves the details, and you get them by email, then by text once approved. A storefront or commercial building gets no phone price: the AI takes the business name, address and what they want cleaned, then books a walk-through or leaves a callback.
What happens on a rain day?
The AI receptionist says the weather rule you set for rain, wind or a hard freeze, such as rescheduling to the next dry day, when a customer asks or mentions a forecast. It doesn't watch the forecast, call off jobs or text your day's list. You move the visits and tell the customers, and it keeps quoting and booking.
What does it do about emergencies, ladder safety and insurance questions?
If a caller reports a gas smell, smoke, sparks, a fire, a carbon monoxide alarm, an injury or a medical emergency, Optimal Automations' AI says one of three fixed messages, each pointing to 911, and the call ends. It gives no ladder or height advice, since the crew confirms access on arrival, and says you're insured only in words you supply.
Does it book straight into Jobber, Housecall Pro or my route software?
No, not today. Optimal Automations' AI books window cleaning jobs on your Google Calendar and logs each call, recording included, in a Google Sheet. Nothing flows into Jobber, Housecall Pro, Workiz or other route software, so each job is entered by hand from your call summary. If your software matters to you, bring it up on the demo.
How much would an AI answering service cost my window cleaning business?
Wages alone for a part-time receptionist, 20 hours a week at the BLS median of $18.27 an hour, come to roughly $1,583 a month. Starter costs $497 a month with up to 1,000 AI minutes, and Pro costs $797 with up to 2,500 plus a monthly call review. Setup is $997 once, it's month-to-month, and minutes beyond your plan are $0.25 each.
Will my customers know it's an AI?
Yes. Its opening greeting says it is an AI assistant, and it never passes as a person. Some may hang up, and we have no hang-up data yet. A Gartner survey released in July 2024 found 64% of customers would prefer AI stay out of customer service; the top worry was reaching a person. Asking for the owner gets a callback.
