AI receptionist and answering service for moving companies

The AI receptionist that books moves and surveys while your crew is on the truck

Your crew is mid-load when the phone rings. Optimal Automations puts an AI receptionist for moving companies on your business line, loaded with your own rate card, then runs it and tunes it through your first month. It asks the date, the stairs and the heavy items, gives the hourly rate, minimum hours and trip fee you set as an estimate, never a binding price, and books the move or a survey while the caller is still on the line. Yes, it's an AI, and it says so in its opening greeting.

Free, no card, about 5 minutes. You enter your contact details, then your rates and rules, and call your own AI receptionist from your browser. Andrei or Konnor may follow up.

What exactly does an AI receptionist do on a moving company's phone line?

An AI receptionist for moving companies is an AI voice assistant that answers your business line while your crew is on the truck, asks the date, size and access, gives only the hourly rate, minimum hours, trip fee and extra fees you set, and books the move or a survey. It never gives a binding price.

  • It says only the rates and fees you give it, as an estimate billed on actual time, never a binding quote.
  • Bigger jobs, such as long-distance, commercial and hoarding moves, get a survey booked (in-home or video) and no price, by your rules.
  • In its opening greeting, the AI tells the caller it is an AI assistant and that the call is recorded.
  • It books into Google Calendar today. If you run your jobs in SmartMoving or other moving software, you copy each job across from the call summary.

Nobody is free to pick up on moving day

Invoca's July 2026 home services benchmark says a person answers 52% of the calls a home service business gets, or 65% of calls longer than 15 seconds (Invoca). Its nine trades include HVAC and plumbing but not moving. We found no independent missed-call rate for movers, so we don't quote one.

The calls you miss with a couch in your arms

  • The call mid-carry. You are on the second flight with one end of a dresser, and the phone buzzes. The caller wants a rate and a date. Answer and your crew waits; let it ring and the caller may try the next company on their list.
  • The month-end Saturday. All My Sons, a moving company with 90+ locations across the United States, says end-of-month weekends and holiday weekends are the busiest times for movers (All My Sons). Its 2024 data covers about 222,300 moves, and May through August made up about 37% of them. That is one company and one year, so read it as a pointer; on a fully booked day every crew is on a truck and nobody is free to pick up.
  • The price shopper. SmartMoving, a software vendor for movers, writes a call script for the caller who already has a lower quote elsewhere (SmartMoving). It also says the first mover to respond often wins the job, but gives no data for that. Its 2026 survey of 484 movers found only 38% respond to leads within five minutes (SmartMoving). The article does not say whether leads means phone calls.
  • The big-move caller. A whole-house or long-distance move can't be priced reliably from a phone call. For a move between states, a verbal quote is not an official estimate, and the estimate has to rest on a survey, on-site or virtual, unless the customer waives it in writing (FMCSA). So the call's job is to book that survey, and whoever answers may get to quote.

Example call

It gives the rate, won't lock in a total, and finds a Friday

A made-up call to a made-up company: a third-floor walk-up, a piano and a caller phoning a few movers. The AI gives the rate card, the minimum and the extras as an estimate, says no to a locked-in total and finds a Friday start while the Saturday fills.

Hear your moving company receptionist

Made-up company, made-up caller. The free demo call has no live calendar and no texting; on your real line the AI checks your Google Calendar and asks about texts. When you build yours, it answers as your business, with your prices.

After a call like this, the owner sees it on an example moving dashboard. Made-up business, made-up numbers, no sign-in.

The intake

What it asks a caller planning a move

Where and when first, then how big, how hard to carry and what it costs. One question at a time, in plain words.

Where
Pickup and drop-off, by city or ZIP, and whether both are inside the area you serve.
When
Move date, and how flexible it is. If your busy-day note says month-end and weekends book up first, it says so.
Size
Bedrooms, or the main items, and whether storage is involved.
Access
Stairs or an elevator at both ends, and how far the truck has to park from the door.
Heavy items
Piano, safe, pool table, gym equipment, hot tub. A piano, or any item with a fee on your price sheet, is added to the estimate at that fee. The rest get a survey and no price.
Packing
None, some or all. It states your packing rate if you gave one.
Price
Your hourly rate for the crew size on your rule, the minimum hours and the trip fee, as an estimate billed on actual time. Never a binding price.
Booking
Two start windows, then first name, mobile number and email. It reads the number back and asks whether texts are OK.

Your rules

Your rates, your estimate policy, your busy days

We build it from your rate card and how your crews work. We tune it through your first month. After that, send us a change and we make it.

  • Crew rates, minimum hours and trip fee

Your rate for two, three and four movers and a truck, your minimum hours and your trip or travel fee. Only the two-mover rate is required. Tell us how many movers you send for each size of move, and we write that rule in. It says all of it as an estimate, billed on actual time. For loading and unloading only, add a rate in your own words, or your team prices each job.

  • Stairs, long carries and special items

Your fee per flight, per long carry and for a piano. An item with a fee on your sheet is added to the estimate at that fee. A safe, a pool table, a hot tub or any item with no fee gets a survey and no price. A stairs or carry fee you left off goes to your team to confirm, and it never makes one up.

  • How you estimate

Pick one: an hourly range by phone for local moves and a survey for bigger ones, a survey before every quote, or an hourly range for every move. You choose which jobs get a survey: three or more bedrooms, long distance, commercial and hoarding. None of the three gives a binding price by phone. California's regulator calls verbal and Internet estimates illegal for household moves there, so a California mover should pick the survey-first option.

  • Busy days and date flexibility

If month-end and weekends book up first, say so in your busy-day note and it tells callers. It already asks how flexible the date is. You also set your days, your start hours and whether you take moves within a few days.

  • What you won't move

You pick from hazardous materials, firearms and ammunition, propane tanks, perishable food and plants, and add your own. Atlas Van Lines publishes a similar list, including ammunition, loaded guns, propane tanks, perishable food and houseplants. Callers hear a kind no, and it never agrees to move an item on your list.

  • Deposits and payment

A deposit is not a built-in setting. If you hold a date with one, put the rule in your own words in the rules you write for us, and the AI can say it as you wrote it. It states which payments you take, and it never takes a card number because your team handles payment itself.

Where it stops

It books the move. It doesn't promise the price.

The worst thing a phone can do to a mover is promise a price the crew can't keep. These limits are built in.

Emergencies on a packing or moving day

  • A fire, sparks, smoke, or gas that smells like rotten eggs, in the old place or the new one: the move questions stop, the AI says the first message below and the call ends.
  • The carbon monoxide alarm is going off: the second message below, then the call ends.
  • A medical emergency, or anyone hurt or in danger: the third message, one short line. Moving is heavy work, so a fall on the stairs or a crushed hand gets that line and no first-aid advice.
  • The call ends after each one. Nothing is booked, and the AI offers no advice beyond the message.

The AI says these three messages exactly as written, with nothing added. First: "That sounds unsafe. Please hang up and leave the house right now, without touching any light switches. Once you're outside and away from the building, call 911 and your gas company's emergency line. Stay safe." Second: "Get everyone outside into fresh air right now and call 911 from outside. Don't try to find the source. Stay safe." Third: "Please hang up and call 911 right now." Where they come from: a Black Hills Energy page says to leave at once, flip no light switches or use electronics inside, and call 911 and the gas company from a safe distance; Health Canada says to leave a home with a sounding alarm and not hunt for the source; the National 911 Program says to dial 911 immediately. Show these three messages, and the estimate rules below, to a lawyer or insurer of your own before launch.

What it never does

  • Give a binding or final price by phone, or promise an exact arrival time. It says local moves bill on actual time and the team confirms the final price on site.
  • Promise insurance coverage amounts or admit liability. On a damage or claim call it takes the details, admits nothing, promises nothing and says the owner will call back.
  • Vouch for you in its own words. FMCSA says thousands of Americans report moving fraud each year (FMCSA), so expect callers to ask who you are. It claims no license, insurance, bonding or DOT number unless you give it a credentials line, and then it says only that line, and only when asked.
  • Move anything on your won't-move list, or take a card number on the phone. It tells callers your team handles payment.

The estimate rules on this page are US rules for moves between states, plus California's regulator's guidance. They are not legal advice. Rules differ by state and in Canada, and we haven't researched Canada.

Reminder texts

A reminder the evening before, for customers who say yes to texts

  1. As the call wraps up: if the customer said yes to texts, a confirmation with the move day and start window goes to them. You get a summary of the call too, by email until texting is approved and by text after. The recording is in your call log, so your crew lead can hear what the caller said about stairs, the elevator and where the truck parks.
  2. The evening before: a reminder from 4 p.m. with the day and start window. The customer texts C to confirm or R to ask for another time. If they text R or don't confirm, you get an email before a crew and a truck head out.
  3. Moving morning: from 8 a.m., and only before the window starts, a short heads-up that the crew is on today's schedule. It doesn't check that the building booked its elevator or that the truck has a spot. That stays on your crew lead's list.
  4. No reply? About two hours after a reminder goes unanswered, you get an email, so you can phone before a crew and a truck show up at a pickup nobody has packed.
  5. If the customer texts R: their reminders pause and they are told you will text soon about a new day or to cancel. An email goes to you, and the new time is yours to set. Shift a move to another day on your calendar and the reminders follow it. The customer is not told, so phone them.
  6. Booked late? A reminder is skipped when the move was booked or changed less than six hours before it was due, because the customer has just heard from you.
  7. What waits on the carriers: every text. Your business texting number needs the phone carriers' approval first, usually one to four weeks after we file. Answering calls and booking moves doesn't wait, and each call summary reaches you by email meanwhile.

Pricing

What it costs, and one sum to run with your own rates

Starter is $497 a month and Pro is $797, after a one-time $997 setup, month-to-month. A part-time receptionist at the BLS median wage, 20 hours a week, costs about $1,583 a month in wages alone (BLS). We found no reliable average job value for small movers, so run one sum with your own rates: your two-mover hourly rate times your minimum hours, plus your trip fee. If that is more than $497, one booked minimum job brings in more than a month of Starter, before your crew and truck costs.

Starter

$497/ month

Up to 1,000 AI minutes, about 500 two-minute calls. Answering, booking, call summaries and, once your number is approved, reminder texts.

Pro

$797/ month

Up to 2,500 AI minutes and everything in Starter, plus a monthly call review with Andrei or Konnor.

One-time setup

$997

We build it from your own prices and rules, test it on a full call checklist and tune it during month one.

What you commit to: $1,494 to start on Starter ($997 setup plus the first month) or $1,794 on Pro. After that it is month-to-month: cancel before your next billing date and you owe nothing more, apart from $0.25 for each minute over your plan.

What we need from you: answers to a few questions about your fees, service area and schedule, access to your Google Calendar, call forwarding from the number you already use, and the business details the phone carriers ask for before texting starts. We build, test and tune it.

Extra minutes past your plan are $0.25 each. No per-call fees. The same done-for-you setup is built for AI receptionist for junk removal, AI receptionist for cleaning businesses and other home service trades. See the full list.

The 5-job guarantee

If your AI receptionist doesn't book at least 5 jobs in its first 30 days live, your second month is free. "Free" means we waive your plan fee for month 2. The $997 setup fee is not refunded.

  • What counts as a booked job: a real customer's booking, visit or estimate that the AI put on your calendar. Test calls don't count.
  • When the 30 days start: the day it starts answering your calls.
  • What we need from you: your calls forward to the AI for the full 30 days, at least whenever you can't answer and after hours. Your calendar has at least 10 open job windows a week.
  • Enough calls to judge it: at least 40 calls from potential customers reach the AI in those 30 days, as shown in the call log with recordings. If fewer come in, the guarantee doesn't apply. On the demo we look at your call volume and tell you if it is likely too low.
  • How to claim: after your first 30 days live, email hello@automateai.agency. We go through the call log with you, and if the conditions above were met and fewer than 5 jobs were booked, month 2's plan fee is waived.

Who you'll work with

Two founders. No call center.

We're Andrei and Konnor. We build every AI receptionist ourselves and test it before it takes a customer's call. We tune it through your first month; after that you send us a change and we make it, and Pro adds a monthly call review. You talk to one of us on the demo, and after launch you reach one of us directly, not a support queue.

We are new. There are no customer reviews or case studies to show yet, and we won't invent any. What we can show: you hear your own receptionist before you pay, every number on this page links to its source, and the guarantee puts our month-2 fee on the line.

Questions

Questions movers ask about an AI receptionist

Updated

How is an AI receptionist different from an answering service for movers?

A live answering service typically takes a message and leaves the callback to you. An AI answering service for moving companies, like ours, answers the call itself, states the hourly rate, minimum hours and trip fee you set, asks about stairs and heavy items, and books the move or a survey while the caller is still on the line.

Can the AI give a binding quote, or price a long-distance move, by phone?

The AI never gives a binding quote, and long-distance, big and commercial moves get a survey, not a price. FMCSA says a verbal quote isn't an official estimate on moves between states, and California's regulator calls verbal and Internet estimates illegal for household moves there. Where that applies, choose a survey before every quote. Elsewhere, local moves get your hourly rate as an estimate.

Sources: FMCSA, Your Rights and Responsibilities When You Move, California Bureau of Household Goods and Services, consumer guidance on movers

What is the difference between a binding, non-binding and not-to-exceed estimate?

A binding estimate locks the total. A non-binding estimate is the expected cost, and on interstate moves the mover can't demand over 110% of it at delivery. A binding not-to-exceed estimate caps the price: you pay the lower of the cap or the actual cost. Our AI gives none of these by phone; it states your hourly rate as an estimate or books a survey.

Sources: FMCSA, Your Rights and Responsibilities When You Move, HireAHelper, binding vs non-binding estimates

How does it handle stairs, elevators, long carries and a piano?

The AI asks about stairs, elevators and how far the truck parks. An item with a fee on your sheet, like a piano, is added to the estimate at that fee. A safe or pool table gets a survey and no price. On a binding estimate, FMCSA's interstate booklet lets a mover bill extra for unforeseen elevators, stairs or required parking permits at the destination.

Source: FMCSA, Your Rights and Responsibilities When You Move

Will it vouch for my license, insurance or DOT number?

Only in words you give it. The AI claims no license, insurance, bonding or DOT number unless you give it a credentials line, and then it says only that line, and only when asked. On a damage or claim call it takes the details, admits nothing, promises nothing and says the owner will call back.

What does it say if a caller smells gas or someone gets hurt?

It says one of three fixed messages, quoted in full in the safety section above, then ends the call with no booking and no advice. In short: gas, smoke or fire, leave and call 911 and your gas company from outside; a carbon monoxide alarm, get outside and call 911; anyone hurt or in danger, "Please hang up and call 911 right now."

Sources: National 911 Program, Calling 911, Health Canada, preventing exposure to carbon monoxide, Black Hills Energy, what to do if you smell natural gas

Does it work with SmartMoving or other moving software?

For now, bookings go into Google Calendar, and every call is kept in a Google Sheet with its recording. It doesn't write into SmartMoving or other moving software, so your quote tool stays separate. Keep the calendar as your live schedule or copy each job over. If you use other software, mention it on the demo and we'll be straight about what connects.

What does an AI receptionist cost a moving company?

Setup is $997 once, then Starter is $497 a month or Pro is $797. Starter covers up to 1,000 AI call minutes, about 500 two-minute calls; Pro covers up to 2,500 and adds a monthly call review. It runs month to month with no per-call fee, any extra minutes are billed at $0.25, and you can end it any time before your next billing date.

Will my customers know it's an AI?

Yes. Its opening greeting says it is an AI assistant, and it never passes as a person. Some may hang up, and we have no hang-up data yet. A Gartner survey released in July 2024 found 64% of customers would prefer AI stay out of customer service; the top worry was reaching a person. Asking for the owner gets a callback.
